APRIL 13, 2023 REGULAR MEETING


Present: Kathy Crafton, President; Terry Phillips, Secretary; Joy Culp, Treasurer; Kelly Joyce, Sally Wurtz, Mary Kay Butler, Kathy Rosenberg, Judi Terpening, Director; Jess McAlister, Assistant Director.

Not Present: Robyn Ryle

President Crafton opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Butler seconded. Motion carried.

Phillips made a motion to approve the minutes from the March 9 regular meeting. Rosenberg seconded. Motion carried.

Treasurer’s Report & Approval of Claims
March 10 – April 13, 2023

  • Operating Fund expenditures were $151,728.98. Expenditures from all funds were $175,019.96. Operating Fund receipts were $7,227.53. Receipts to all funds were $34,037.07. Balance in the Operating Fund as of April 13, 2023 was $1,225,605.76. Total bank balance was $1,732,546.37.

  • There was 1 check over $6,000:

    • $11,878.52 to Jefferson County Treasurer for health insurance premiums.

Phillips made a motion to approve payment of claims for March 10 through April 13, 2023 in the amount of $175,019.96. Wurtz seconded. Motion carried.

Director Terpening’s report

Adult Programming

  • 14 events with 91 attendees.

  • 3 Landscape Painting & Portrait Drawing classes with 12 attendees.

  • 4 Online Drawing & Painting classes with 12 attendees.

  • Faux Clay Vase craft had 30 attendees in 2 classes.

  • Stitching Group had 4 attendees.

  • Woven Basket Workshop had 16 attendees in 2 classes.

  • Hanover Book Group discussed Lessons in Chemistry by Bonnie Garmus. 11 attended.

  • 6 attended the Faux Clay Vase craft at Hope Community.

  • Outreach made 16 deliveries, circulating 115 items.

  • 18 Meetings with 122 attendees.

Children’s Services and Teens Programming

  • 14 programs with 533 attendees.

  • Story Time had 81 attendees and Mother Goose on the Loose had 60.

  • Canvas Kids had 28 attendees.

  • Lego Club had 27 attendees.

  • Reading to Dogs had 42 attendees.

  • Young Adult Teen Ceramic Tile Art had 2 attendees.

  • Story Line had 28 calls.

  • Farmer's Market Craft "Rainbow Pot-O-Gold" had 25 participants.

  • 41 Mystery Crafts were picked up at Madison and 27 at Hanover.

  • For "Read Across America Week, Motsinger visited 236 students at Ryker's Ridge School to share about Library services and materials. She was also a guest reader to 64 students at Southwestern.

Circulation

  • Circulations were up 20% over last March.

  • Visitors were up 7.8%.

  • Social Media and website use were up slightly.

  • The Library now has 3,052 Facebook followers.

  • Most viewed social media posts were Kid Stuff and Payne Hollow photos.

Staff and Volunteers

  • National Library Week is April 23-29. This year's theme is "There's More to the Story." There will be a staff meeting on April 25, which is National Library Workers Day. Board will provide breakfast for staff. Outreach Coordinator Hughes created brochures for Outreach, Children's Services and general Library information. Social Media Coordinator Hendricks has also started making monthly brochures that include the programs for each month.

  • Indiana Library Federation Conference will be at the New Albany Floyd County Public Library on April 28. Six staff members will attend.

Ongoing and Upcoming Events

  • Adults and Teens - Felted Soap, Breastfeeding 101, Wine Basket Workshop, Mosaic Garden Stones. Children's Book Bash, (mostly for Homeschoolers since it's during the day), Mother Goose on the Loose, Story Time, Farmer's Market craft, Lego Club, Rubik's Cube Club.

  • Annual Plant Exchange is Saturday, May 13 from 11:30-1:30 in the Madison Auditorium.

  • Rinker Buck, author of Life on the Mississippi will speak at Madison on Tuesday, May 23 at 5:30pm. Buck is also the NY Times bestselling author of The Oregon Trail, Flight of Passage and First Job.

  • The Library is hosting a Community Baby Shower, presented by the Jefferson County Community Action Network for Maternal and Infant Health, on May 6 at Madison. There will be information for new moms and moms-to-be, giveaways and cake.

Community

  • Legislative update - Senate Bill 12 "Material Harmful to Minors" has died but the language has been added to Senate Bill 380, which is currently in a holding pattern.

  • Evergreen Indiana Annual meeting was on March 28. There are now 129 public libraries in the consortium. 63 of those libraries are fine free, including JCPL.

  • Motsinger represented the Library at the Lanier Mansion Egg Extravaganza on April 8.

  • Hughes took library card applications and brochures to the Hanover Parks Department for their April 1 Egg Hunt.

Technology

  • Terpening is working with Ricoh to get a Cloud subscription set up for the copier.

  • ENA rates went down for 2023-2024 and the internet speed is being upgraded from 1GB to 2GB. Evergreen upgrade to 3.9.1 went smoothly.

Friends of the Library

  • Next meeting will be April 18.

  • FOL will reimburse the Library $4,375.00 for the Hanover Landscaping.

  • FOL membership fees are being eliminated.

  • Spring Book Sale will be May 19-21.

Buildings

  • Terpening received a quote from Executive Elevator for modernization of the elevator. She will also be reaching out to other companies for quotes.

  • Madison Chemical was contacted to test the boiler water. They will flush it and add chemicals to start, then the water will need to be tested regularly.

  • Terpening spoke with PSG about solar energy at the Hanover Branch. Based on the information she received, it would not be cost effective.

Miscellaneous

  • Terpening has been working with a financial advisor from Edward Jones to liquidate the remaining IRA shares from the Seifert Bequest.

Correspondence

  • Received 3 grant checks from the Community Foundation:

    • $1,100.00 from the Larry and Charmaine Owens Endowment.

    • $3,000.00 from the MJCPL Agency Endowment.

    • $300.00 from the MJCPL Endowment.

  • Received a thank you note from Ball State College of Architecture and Planning for use of the Library's projector on March 3.

Continuing Business - None

New Business

  • Butler made a motion to approve the updated Borrower Policy. Joyce seconded. Motion carried.

  • Wurtz made a motion to approve the updated Purchasing Policy. Phillips seconded. Motion carried.

  • Changes to the current Personnel Policy were discussed. The policy will be reviewed further in May.

  • Rosenberg made a motion to approve the current Disaster Recovery Plan for Computer Systems with no changes. Butler seconded. Motion carried.

  • Terpening contacted the Jefferson County Council to request renewal of Wurtz for a 4th term on the Library Board. It will be on their May agenda.

Motion to adjourn by Phillips at 4:48 P.M. Butler seconded. Meeting adjourned.
