Present: Mary Kay Butler, Secretary; Joy Culp, Treasurer; Sally Wurtz, Board Member; Kathy Rosenberg, Board Member; Kathy Crafton, Board Member; Robyn Ryle, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.

Not Present: Terry Phillips, Kelly Joyce

President Phillips opened the meeting at 4:03 P.M. Wurtz made a motion to approve the agenda. Butler seconded. Motion carried.

Public Hearing for Internet & Computer Use Policy: No members of the public were present.

Secretary Butler opened the meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Crafton seconded. Motion carried.

Wurtz made a motion to approve the regular meeting minutes from December 12, 2024. Ryle seconded. Motion carried. Ryle made a motion to approve the regular meeting minutes from September 12, 2024. Wurtz seconded. Motion carried.

Treasurer’s Report & Approval of Claims
December 13 through December 31, 2024

  • Operating Fund expenditures were $58,019.88. Expenditures from all funds were $68,525.50. Operating Fund receipts were $661,408.64. Receipts to all funds were $670,696.93. Balance in the Operating Fund as of December 31, 2024 was $1,515,954.80. Total bank balance was $2,165,353.79. Received the fall tax distribution of $653,580.34, net amount after SBOA exam fees of $2,829.17 were deducted.

  • There was 1 check over $6,000:

    • $11,527.26 to Jefferson County Treasurer for health insurance premiums.

  • The following transfers were made within the Operating Fund:

    • $3,000.00 from 1.12 Full Time to 1.11 Librarian Salary.

Crafton made a motion to approve payment of claims for $68,525.50. Wurtz seconded. Motion carried.

January 1 through January 9, 2025 

  • Operating Fund expenditures were $78,902.99. Expenditures from all funds were $86,299.03. Operating Fund receipts were $129.81. Receipts to all funds were $18,353.37. Balance in the Operating Fund as of January 9, 2025 was $1,437,181.62. Total bank balance was $2,097,408.13. 

  • There was 1 check over $6,000: 

    • $10,035.32 to Evergreen Indiana-ISL Foundation for annual membership fee. 

Ryle made a motion to approve payment of claims for $86,299.03. Rosenberg seconded. Motion carried.

Adult Programming

December Events: 18 - Attendance: 130
Programs and Attendance

  • Cartooning and Caricature Drawing had 11 attendees in 5 classes.

  • Watercolor Class had 17 attendees in 4 classes.

  • Second Saturday Stitchers had 3 attendees.

  • La Leche League had 18 attendees.

  • Festive Fabric Scrap Ornaments Craft had 11 attendees.

  • Paint Your Own Nutcracker had 38 attendees in 2 sessions.

  • Red Cross Blood Drive had 27 attendees.

  • Hanover Book Group read "The Wishing Game by Meg Shaffer. There were 10 attendees. Hope Community had 5 attendees for Village Craft.

  • Virtual Author Talk Series:

    • Unearthed: Exploring the Smithsonian National Gem Collection with Dr. Jeffrey Post: 0 live views (2 registrations and 39 archived views)

    • On Pulse-pounding, Family Driven Mysteries: A Conversation with Laura Dave: 0 live views (1 registration and 30 archived views)

Meetings

  • 11 Meetings with 74 attendees.

Outreach

  • 20 deliveries and circulated 138 items.

Children’s & Young Adult: 9 Total Programs with 278 attendees
Children’s In-House Programs

  • Mother Goose on the Loose had 14 attendees in one session.

  • Story Time at Hanover had 2 attendees in one session.

  • Find Rudolph had 122 participants at Madison and 61 at Hanover.

Children (all ages)

  • 50 Candy Cookie House kits were assembled for patrons to pick up at Madison and 20 for Hanover. The kits contained everything needed to make a small gingerbread house.

  • Story Line had 32 calls.

Family

  • Ornament Crafts had 48 attendees.

  • All ages Gingerbread Decorating Program had 42 attendees.

  • Gingerbread Decorating Contest had 40 entries. 21 youth, 9 teens and 10 adults sent in pictures of their gingerbread house and staff voted for winners. There were 661 People's Choice votes on Facebook.

  • Games, Cocoa & Cookies had 30 attendees.

Social Media/Circulation Statistics

  • Website had 2,626 visits.

  • Local History website had 1,012 visits.

  • Monthly newsletter went out to 4,789 recipients.

  • Facebook followers 3,852. Top post by engagement was Gingerbread House Contest.

  • Total Instagram followers 809. Top post by engagement was New Year Closure.

  • YouTube had 99 views.

  • Niche Academy had 17 views.

  • FAQ had 11 views.

  • Circulations in November were 14,142.

  • There were 57 new library card registrations.

  • Visits to the Library in November were 6,143.

  • Computer usage was 653. Wireless usage was 2,265.

Staff and Volunteers

  • Performance evaluations are all completed.

  • AVC accounting software was updated for 2025 on Business Office and Director's computers. Library closed for snow days on January 6 & 7 because Jefferson County was under a travel warning. Legislative Advocacy Day is February 3. Terpening and McAlister will attend.

Ongoing and Upcoming Events

  • Winter Reading for all ages began January 2 and goes through the end of February.

  • Silver Ceramics, the Indiana Arts Council program, begins January 13.

  • Mother Goose on the Loose and Story Time sessions begin January 21.

  • Library will be closed for MLK birthday on January 20.

  • Staying Safe Online, the PLA Digital Grant program in partnership with Lifetime Resources, starts January 22. Other classes will follow.

  • "Stitch in Public" Day, presented by Cotton Mill Stitchers, will be February 1, from 10am - 3:30pm. Everyone is welcome to join others at the Madison Library as they work on stitching projects.

Community

  • McAlister and Bowman installed the new StoryWalk book signs at Clifty Park. The new title is "Old Rock is Not Boring."

Friends of the Library

  • Sold over 600 books in 6 hours at the Holiday Book Sale on December 14. Total income was $543.50. The annual meeting will be in April and a spring book sale in May.

Buildings

  • Renewed the agreement with Dunlap for HVAC services.

  • Terpening met with Library attorney, Goering and bond counsel. One proposal was received from a financial advisor and Terpening will meet with another one next week.

Strategic Plan

  • Terpening is meeting with the MCLS consultant January 14.

Correspondence

  • Community Foundation letter reporting the Library Endowment will have $3,700 to award in 2025.

Continuing Business

  • Rosenberg made a motion to approve the Meeting Space Policy as amended. Crafton seconded. Motion carried.

New Business

  • Rosenberg made a motion to approve the Notary Public Policy with no changes. Wurtz seconded. Motion carried.

  • Rosenberg made a motion to approve the transfer of $100,000.00 of 2024 unused and unencumbered funds from the Operating Fund to the Rainy Day Fund. Crafton seconded. Motion carried.

  • Ryle made a motion to approve Terpening's request to close the Library on April 14 for an All Staff Strategic Planning Retreat. Rosenberg seconded. Motion carried.
