Present: Terry Phillips, President; Kelly Joyce, Vice-President; Mary Kay Butler, Secretary; Joy Culp, Treasurer; Kathy Rosenberg, Board Member; Kathy Crafton, Board Member; Robyn Ryle, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.
Not Present: Sally Wurtz
President Phillips opened the meeting at 4:02 P.M. Butler made a motion to approve the agenda. Joyce seconded. Motion carried.
Crafton made a motion to approve the regular meeting minutes from January 9, 2025. Butler seconded. Motion carried.
Treasurer’s Report & Approval of Claims
January 10 through February 13, 2025
Operating Fund expenditures were $289,669.30. Expenditures from all funds were $321,676.46. Operating Fund receipts were $3,783.71. Receipts to all funds were $134,256.88. Balance in the Operating Fund as of February 13, 2025 was $1,151,296.03. Total bank balance was $1,909,988.55.
Expenditures over $6,000:
$11,535.60 to Jefferson County Treasurer for health insurance premiums.
$21,474.50 to Dunlap General & Mechanical for heat pump replacement at Hanover Branch ($18,200), boiler rebuild ($2,154.50), boiler room leak repair ($480), and monthly preventive maintenance ($640).
$6,779.50 to AVC Technology for monthly Select Care Agreement ($3,054.75) and Smart Board for digital literacy classes ($3,724.75-paid from PLA Digital Literacy Grant funds).
Transferred $100,000 from Operating Fund to Rainy Day Fund.
Joyce made a motion to approve payment of claims for $321,676.46. Ryle seconded. Motion carried.

How to Stay Safe Online; Digital Literacy had 3 attendees.
Hanover Book Group held its annual selection meeting to choose titles for 2025. There were 11 attendees.
Hope Community had 2 attendees for Heart Lights Craft.
Virtual Author Talk Series:
Start: An Inside Look at Working with a Literary Agent by Seth Fishman; 7 registrations, 12 live views and 3 archived views.
Notes on Modern Irrationality by Amanda Montell: 1 registration, O live views, and 9 archived views.
The Magic of Found Family by T.J. Klune: 10 registrations, 12 live views, 17 archived views.
Winter Reading for adults had 78 participants in January reading 360 titles.

Mother Goose on the Loose had 34 attendees in 2 sessions.
Story Time at Hanover had 30 attendees in 2 sessions.

Lego Club had 6 attendees.
Winter Crafts had 21 attendees.
Southwestern Elementary School Tours had 9 groups of 25 students each.
Story Line had 42 calls.
Young Adult
Waterless Snow Globe Craft had 29 attendees.
Winter Reading
55 children and 14 teens are participating.
Social Media/Circulation Statistics
Website had 3,197 visits.
Local History website had 1,090 visits.
Monthly newsletter went out to 4,791 recipients.
Facebook followers 3,879. Top post by engagement was What's in your Pantry?
Total Instagram followers 809. Top post by engagement was Stitch in Public Day.
YouTube had 66 views.
Niche Academy had 9 views.
FAQ had 18 views.
Circulations in January were 15,232.
There were 68 new library card registrations.
Visits to the Library in January were 5,649.
Computer usage was 629. Wireless usage was 499.
Staff and Volunteers
Terpening, McAlister and Joslin gave visiting staff members from Jeffersonville Township Library an intro to Evergreen.
Terpening attended Indiana Statehouse Day. She was able to meet with Senator Maxwell, Representative Zimmerman, and Representative Payne.
ILF allows a free membership for up to 2 trustees with a paid institutional membership.
Youth Services did a homeschool survey and will be hosting a Homeschool Hangout in March.
Ongoing and Upcoming Events
Winter Reading continues through the end of February for all ages.
Fife and Knoll attended a Historical Leadership meeting to connect with others in the county and talk about what the Library's Local History Department offers.
Black History Month Programs:
"Harriet Tubman" - Children's Theatre of Cincinnati online February 17-23.
"I Am Nobody's Slave"- Lee Hawkins Virtual Author Talk - February 18.
"The Legacy of Bill Smith, Madison's Black Jewelry Designer" - JoAnne Spiller - February 18.
"Explore the Underground Railroad" - Youth Services - February 22.
Winter Self-Care series continues with Lavender Eye Pillow & Room Spray - February 19 & 28.
Silver Ceramics Art Show will be on February 25.
Randall is running the Digital Literacy Classes and has received a lot of positive feedback. February classes offered are "Safety Online" and "How to Use Your Android." Next will be "IOS and Apple Products." In March she will do a class at River Terrace on "How to Use Your Android." The classes are part of the PLA Grant for Digital Literacy that Randall wrote.
Community
McAlister and Bowman are partnering with Madison Main Street for "Madison Girls Weekend." The Library will host "Mardi Gras Mask Making" on February 28 and March 1.
Friends of the Library
No meeting in January due to the extreme weather temperatures. Their next meeting is February 18.
Buildings
There were several building issues the last week of January, including sewer backups and a water leak, possibly related to the cold temperatures. Also, repair of an exterior door lock and elevator problems.
Terpening talked to another group of financial advisors and now has 2 estimates for the building project. Those have been sent to the Library attorney for his review of their proposals. She also met with Dora from Bethany Legacy. Terpening showed her around the building to look at what needs to be done and discuss how Bethany might be able to help.
Library received a $5000 Digital Literacy Grant from PLA. So far, a Smart Board has been purchased and installed. It will be used in classes teaching patrons about using their smart phones and other devices.
Strategic Plan
The Strategic Plan Kickoff will be February 17 after Staff Development Day.
Correspondence
Received the Community Foundation 2024 Quarter 4 report. Investment results were -2.66% but endowed assets grew 8.74% for all of 2024.
Board received a thank you card from Library staff for the holiday gift.
Continuing Business - None.
New Business
Crafton made a motion to approve the Information Security Policy as amended. Wurtz seconded. Motion carried.
Due to issues with the Library Annual Report online portal, it has still not been completed. Terpening will continue working on the report next week and should have it completed by March 1.
Joyce made a motion to approve the Resolution to Close Dormant Funds. Butler seconded. Motion. carried.
Butler made a motion to approve the Resolution to Establish the PLA Digital Literacy Grant Fund. Ryle seconded. Motion carried.
Motion to adjourn by Joyce at 4:39 P.M. Rosenberg seconded. Meeting adjourned.
