June 8, 2023 Regular Meeting


Present: Kathy Crafton, President; Robyn Ryle, Vice-President; Joy Culp, Treasurer; Kelly Joyce, Board Member; Sally Wurtz, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director. 

Not Present: Terry Phillips, Mary Kay Butler, Kathy Rosenberg. 

President Crafton opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Joyce seconded. Motion carried. Crafton appointed Ryle Secretary Pro tem for this meeting. 

Ryle made a motion to approve the minutes from the May 11 regular meeting. Wurtz seconded. Motion carried.

Treasurer’s Report & Approval of Claims
May 12 – June 8, 2023

  • Operating Fund expenditures were $124,506.44. Expenditures from all funds were $141,158.64. Operating Fund receipts were $5,788.04. Receipts to all funds were $21,687.47. Balance in the Operating Fund as of June 8, 2023 was $975,505.96. Total bank balance was $1,481,020.01. There was 1 check over $6,000:

    • $11,878.52 to Jefferson County Treasurer for health insurance premiums.

Joyce made a motion to approve payment of claims for May 12 through June 8, 2023 in the amount of $141,158.64. Wurtz seconded. Motion carried.

Director Terpening’s report

Adult Programming

  • 15 events with 127 attendees.

  • 4 Online Drawing & Painting classes with 10 attendees.

  • 4 Landscape Painting & Portrait Drawing classes with 18 attendees.

  • Quilt Guild had 14 attendees.

  • Plant Exchange had 32 attendees.

  • Stitching Group had 4 attendees.

  • Hanover Book Group discussed lona Iverson's Rules for Commuting by Clare Pooley. 15 attended.

  • Author Rinker Buck's Life on the Mississippi program had 23 attendees.

  • 5 attended the Garden Mosaic Stone craft at Hope Community.

  • 6 attended the Trinket Trays and Fridge Magnets craft at Hickory Creek.

  • Outreach made 16 deliveries, circulating 152 items.

  • 24 Meetings with 139 attendees.

Children’s Services and Teens Programming

  • 100 programs with 3,978 attendees.

  • Rubik's Cube Club had 14 attendees.

  • 2 Kindergarten Tours from Pope John had 41 attendees.

  • Teen Craft Paint and Plant had 12 attendees.

  • Story Line had 40 calls.

  • Farmer's Market "3-D Rainbow" craft had 92 participants.

  • Motsinger visited 6 Elementary Schools to promote the Summer Reading Program. She talked to 1,520 people in 78 groups or classes.

  • Westmoreland visited 4 Junior and Senior High Schools and spoke to 1,659 people in 17 groups about the Summer Reading Program.

Circulation

  • Circulations were up 19% over May 2022.

  • Visitors averaged 305 per day, which was a 9% increase over May 2022.

  • 92 new library cards were made in May.

  • Facebook reached over 16,000 people and there were 2,765 "likes.”

  • There are 3,977 subscribers to the e-Newsletter.

  • Website had 2,774 visitors.

  • Uploaded the first Local History video, which increased views by 68% on the Library YouTube channel.

Staff and Volunteers

  • Staff member Stenger is planning to start the IUPUI certification program in the fall.

  • Inman and Hughes attended the Regional Programming Roundtable on May 18.

  • Terpening, Culp and Poling attended the Budget and Bookkeeping webinar on May 23.

  • McAlister was re-elected to the Evergreen Patron Services Committee.

  • Zavala has offered to do genealogy for staff members to help her learn and improve her skills.

Ongoing and Upcoming Events

  • Adults and Teens

    • Floam Slime; Cyanotype; Stained Glass Luminary; Macramé Wall Art; Candy Craze with Chocolate; The Magic of Flowers, a collaboration with H.H. Apothecary on June 28.

  • Children's

    • Silly Safaris; Juggling Show & Workshop; Young Writer's Workshop; Hardy Lake Birds & Snakes; Mother Goose on the Loose, Story Times; Reading to Dogs; Crafts-Space, Beading, Fluffy Slime.

  • Juneteenth program

    • "Robert Jefferson" by Phyllis McLaughlin of Twisted Roots Genealogical Services June 15.

  • Ruth Turner will do a Ruby Bridges program for Juneteenth.

  • The Library will be closed on June 19 in observance of Juneteenth.

Community

  • McAlister was interviewed for the Jeffersonville Township Public Library Podcast. 

  • Terpening was interviewed for the AVC Magazine. 

  • Terpening was invited to be on the Spectrum Event Panel on May 23. She also attended a regional meeting in Switzerland County and met with broadband stakeholders as they discussed programs to get broadband access to everyone. Terpening is the Library's representative on the Broadband Task Force.

Technology

  • All of the battery backups have been replaced on staff computers.

Friends of the Library

  • Proceeds from the May book sale were $2,785.50

  • Sidewalk sales will be held June 24, July 22 and August 26.

Buildings

  • Repair was completed on the elevator starter.

  • The hallway and ceiling behind the restrooms was plastered and repainted.

Correspondence

  • Community Foundation report for the first quarter of 2023 showed a 3.89% increase in endowed assets.

Continuing Business - None

New Business

  • Wurtz made a motion and Joyce seconded the Resolution to Approve Slate of Officers for 2023-2024. Board Officers Ryle, President; Phillips, Vice-President; Joyce, Secretary; Culp, Treasurer will serve July 1, 2023 through June 30, 2024. Motion carried.

Motion to adjourn by Joyce at 4:20 P.M. Wurtz seconded. Meeting adjourned.
