MAY 11, 2023 REGULAR MEETING

Present:
Kathy Crafton, President; Robyn Ryle, Vice-President; Joy Culp, Treasurer; Kelly Joyce, Board Member; Sally Wurtz, Board Member; Kathy Rosenberg, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director; Wil Goering, Legal Counsel; Hope Westmoreland, Library Employee; Hannah Hughes, Library Employee; Alicia Zavala, Library Employee; 10 members of the public.

Not Present: Terry Phillips, Mary Kay Butler.

President Crafton opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Rosenberg seconded. Motion carried.

Crafton asked if any members of the public had requested to be added to the agenda. There were none.

Wurtz made a motion to approve the minutes from the April 13 regular meeting. Rosenberg seconded. Motion carried.

Treasurer’s Report & Approval of Claims
April 14 – May 11, 2023

  • Operating Fund expenditures were $137,535.70. Expenditures from all funds were $153,869.37. Operating Fund receipts were $6,154.30. Receipts to all funds were $21,814.18. Balance in the Operating Fund as of May 11, 2023 was $1,094,224.36. Total bank balance was $1,600,491.18.

  • There were 3 checks over $6,000:

    • $11,878.52 to Jefferson County Treasurer for health insurance premiums.

    • $18,860.00 to Selective Insurance-annual premium for Commercial Package and Workers Comp.

    • $6,040.00 to Indiana State Library-annual fee for Info Express at both libraries.

Joyce made a motion to approve payment of claims for April 14 through May 11, 2023 in the amount of $153,869.37. Ryle seconded. Motion carried.

Director Terpening’s report

Adult Programming

  • 18 events with 143 attendees.

  • 4 Online Drawing & Painting classes with 8 attendees.

  • 4 Landscape Painting & Portrait Drawing classes with 14 attendees.

  • Stitching Group had 4 attendees.

  • Breastfeeding 101 had 5 attendees.

  • Red Cross Blood Drive had 46 attendees.

  • Wine Basket Workshop had 14 attendees in 2 classes.

  • Mosaic Garden Stones craft had 34 in 2 classes.

  • Hanover Book Group discussed The Undocumented Americans by Karla Cornejo Villavicencio. 8 attended.

  • 4 attended the Rock Painting craft at Hope Community.

  • 6 attended the Rock Painting craft at Hickory Creek.

  • Outreach made 17 deliveries, circulating 114 items.

  • 19 Meetings with 167 attendees.

Children’s Services and Teens Programming

  • 12 programs with 219 attendees.

  • Story Time had 30 attendees and Mother Goose on the Loose had 44.

  • Lego Club had 20 attendees.

  • Perler Bead crafts had 5 attendees.

  • Home School Book Bash had 18 attendees.

  • Felted Soap had 19 attendees.

  • Teen Stained Glass Suncatchers had 10 attendees.

  • Story Line had 37 calls.

  • Farmer's Market Craft "Birds in Flight" had 15 participants.

  • "Lunch in the Library" at Southwestern Jr. High had 21 attendees.

Circulation

  • Circulations were up 11% over last April 2022.

  • Hoopla increased by 10% and Libby increased 32% over April 2022.

  • There were 6,286 visitors and 67 new cards made in April, which is about average.

  • Social Media and website use were up slightly.

  • The Library now has 3,074 Facebook followers, 671 Instagram followers and 3,958 subscribers to the Newsletter. All increased since 2022.

  • Website had 1,658 users with 3,660 page views. History website had 917 users and 2,371 page views.

Staff and Volunteers

  • Staff would like to thank the Board for supplying breakfast for National Library Workers Day, April 25.

  • McAlister designed and ordered T-shirts for staff.

  • 6 staff members attended the Indiana Library Federation Regional Conference at New Albany Floyd County Public Library on April 28. Highlights were trauma awareness, readers advisory, navigating crisis, and HR strategies.

  • Terpening will be attending the ALA Conference in Chicago June 23-27.

Ongoing and Upcoming Events

  • Summer Reading starts June 1 and runs through July 20. The theme is "Blast Off with Books." Over 40 programs are scheduled.

    • Adults and Teens - Decorate a library bag collaboration with Teen and Outreach Librarians; Floam Slime; Cyanotype; Stained Glass Luminary; Macramé Wall Art; Candy Craze with Chocolate.

    • The Magic of Flowers collaboration with H.H. Apothecary on June 28.

    • Children's - Touch-a-Truck! Summer Reading Kickoff June 6; Frog Prince Puppet Show June 8.

    • Family program - Movie Night: WALL-E June 23.

    • Author Talk: Len Hudson - The Legend of Ma Qui: The American Phantom of Vietnam June 1.

    • Juneteenth program - "Robert Jefferson" by Phyllis McLaughlin of Twisted Roots Genealogical Services June 15.

    • The Library will be closed on June 19 in observance of Juneteenth.

Community

  • Summer Reading talks at schools have started. Motsinger has been visiting many classrooms to talk about Summer Reading.

  • McAlister read to students at Anderson Elementary May 5 and gave out bookmarks to color and brochures about the Library. Students wrote a thank you card and one class even wrote a book.

  • Legislative update - Governor Holcomb signed House Bill 1447, pertaining only to school libraries. The application to public libraries was removed from that bill.

  • Spectrum will be hosting an event on May 23 at Fairfield Inn to talk about broadband needs in Jefferson County. Terpening will represent the Library on the Broadband Task Force panel at the event.

Technology

  • The Library borrowed a Virtual Reality Kit from the State Library to see if it would be good to use for future programs.

  • Ricoh training at Hanover is finished and the copier there is now set up again for scanning to email and wireless printing.

Friends of the Library

  • FOL will sponsor Kona Ice at the Summer Reading kickoff.

  • Spring Book Sale will be May 19-21. FOL will also be having sidewalk sales this summer.

Buildings

  • The boiler has been flushed, refilled and chemicals added. Water will be tested weekly to determine when more chemicals need to be added.

Correspondence

  • Received a thank you card and a book written by students at Anderson Elementary.

Continuing Business

  • Personnel Policy was tabled until September to allow more time for staff input regarding the new PTO policy.

New Business

  • Wurtz made a motion and Ryle seconded the following nominations for new Board Officers: Ryle - President; Phillips - Vice-President; Joyce - Secretary; Culp Treasurer. Motion carried.

  • Wurtz took the oath of office before McAlister, Notary Public, to serve her 4th term as a Library board member.

Motion to adjourn by Wurtz at 4:19 P.M. Rosenberg seconded. Meeting adjourned.
