September 14, 2023 Regular Meeting

Present:
Robyn Ryle, President; Kelly Joyce, Secretary; Joy Culp, Treasurer; Kathy Rosenberg, Board Member; Sally Wurtz, Board Member; Kathy Crafton, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.

Not Present: Terry Phillips, Mary Kay Butler.

No members of the public were present at the Public Hearing for the 2024 budget.

President Ryle opened the regular meeting at 4:03 P.M. Wurtz made a motion to approve the agenda. Crafton seconded. Motion carried.

Joyce made a motion to approve the minutes from the July 13 regular meeting. Wurtz seconded. Motion carried.

Treasurer’s Report & Approval of Claims
August 11 – September 14, 2023

  • Operating Fund expenditures were $155,529.04. Expenditures from all funds were $180,538.78. Operating Fund receipts were $4,497.32. Receipts to all funds were $27,009.41. Balance in the Operating Fund as of September 14, 2023 was $1,455,018.86. Total bank balance was $1,957,771.81.

  • There was 1 check over $6,000:

    • $11,878.52 to Jefferson County Treasurer for health insurance premiums.

Crafton made a motion to approve payment of claims for August 11 through September 14, 2023 in the amount of $180,538.78. Rosenberg seconded. Motion carried.

Director Terpening’s report

August Adult Programming

  • 16 events with 152 attendees.

  • JCPL hosted the quarterly Southern Indiana Programming Roundtable on August 31. 11 attended.

  • Landscape Painting & Portrait Drawing had 18 attendees in 3 classes.

  • Online Drawing & Painting Class had 12 attendees in 5 classes.

  • Second Saturday Stitchers had 5 attendees.

  • Self-Defense Workshop had 3 attendees.

  • Robyn Ryle presented Girls vs. Boys: Exploring Gender and Athletic Performance. 19 attended.

  • Red Cross Blood Drive had 43 attendees.

  • Crystallized Books craft had 34 attendees in several sessions.

  • 4 Hickory Creek residents attended the Mosaic Suncatchers craft.

  • 5 Hope Community residents attended the Mosaic Suncatchers craft.

  • Hanover Book Group read "Somewhere Between Bitter and Sweet. 9 attended.

  • Outreach made 20 deliveries and circulated 130 items.

  • There were 29 meetings with 188 attendees.

Teens

  • No programs in August but some adult programs included teens.

Children’s Programs

  • 8 programs with 166 attendees.

  • Mother Goose on the Loose had 39 attendees in 2 sessions.

  • All Ages Story Time at Hanover had 30 attendees in 2 sessions.

  • Build-a-Boat had 20 attendees.

  • Lego Club had 11 attendees.

  • Farmer's Market Craft "Fans to Decorate" had 19 participants.

  • Story Line had 47 calls.

Circulation

  • Circulations were up about 550 compared to 2022.

  • Job page on the website, advertising the Library Assistant position had the most visits and shares.

  • Visitors were 7,452 which was about 2,000 more than August 2022.

  • Instagram has 700 followers.

  • There are 4,132 Newsletter recipients.

  • Library and Local History website use was up compared to 2022.

  • There has been an ongoing problem with holds due to the State Library's change to a new delivery company, Pillow Express. Due to the inability of the company to meet the requirements of the transit system, the State Library broke the contract and returned to the previous company Now Courier. This has caused an even longer delay in receiving holds due to the backlog of items to sort through.

Staff and Volunteers

  • Hired a part time Library Assistant, Bill Varble. He will be working primarily at the Hanover Branch. Staff Development Day was August 14, and included CPR Training.

  • Motsinger attended the Children's Roundtable at Jackson County Library.

  • Inman and Hughes hosted the Southern Indiana Adult Programming Roundtable.

  • Terpening, McAlister, Hughes and Zavala attended the Evergreen Indiana Conference.

  • Terpening attended the Director's Roundtable at Bartholomew County Library.

Ongoing and Upcoming Events

  • Adults and Teens - Candle Painting; Ghost Portraits.

  • Children's - Mother Goose on the Loose and Story Times resume.

Community

  • Story Walk ribbon cutting will be at Clifty Park, Sunday, September 24 at 1:00 P.M.

  • Several cameras that belonged to Harry Lemen will be on display at the Library for a month, then donated to the History Center.

  • Terpening represented the Library and Broadband Task Force at the Commissioner's meeting. They presented an award to 4-H Junior Leaders, winners of the logo contest.

Technology and Services

  • Fold 3, a database by Proquest, was added as part of Ancestry. It will enable searches for past military records.

  • The Library was awarded $250.00 from Beanstack for participation and engagement. Beanstack is the software used for Summer Reading sign up.

Friends of the Library

  • Sidewalk sales made approximately $1,000.00 during the summer months.

  • Fall Book Sale will be September 29 through October 1.

  • FOL is sponsoring the promotional video created by Freewheel Studios and prizes for the Tiny Art Show in November.

Buildings

  • Windows were professionally cleaned at Hanover by Classic Clean. They are members of the Madison Chamber and the Library received a 10% discount as a Chamber member. They will clean the windows at Madison in a few weeks.

Correspondence

  • Received the quarter 2 activity statement for the Library Endowment at the Community Foundation. The fund value as of June 30 was $87,619.55. Endowed assets have grown 7.23% in 2023.

  • The Library received a certificate of appreciation from DAR for its "continuing commitment to educate citizens about Constitution Week by providing a highly visible space for a month-long Constitution Week display each September."

Continuing Business

  • Wurtz made a motion to approve the Personnel Policy with changes on page 7 under Salary Administration and page 9 under Holidays, Saturdays and Sunday. Rosenberg seconded. Motion

    carried.

New Business

  • Emergency Closing Procedure was presented with no changes except the date.

  • Crafton made a motion to approve the Confidentiality of Records Policy with no changes. Joyce seconded. Motion carried.

Motion to adjourn by Crafton at 4:33 P.M. Joyce seconded. Meeting adjourned.
